What RTOPilot is
RTOPilot is a training management system for registered training organizations (RTOs) in Australia, sold by XMB Technology Pty Ltd. The homepage calls it "All-In-One RTO Management Software" with the line "Training management on autopilot", and describes "A modern suite of solutions designed to simplify administration for high-volume training providers." It runs completely in the browser and joins student management, training delivery, a built-in learning management system, bookings and compliance reporting in one product. The company says it is "100% Australian-owned" and calls the platform "A fresh RTO experience built in Australia". For an RTO, it replaces a mix of spreadsheets, booking tools and separate compliance software with one system that runs from first inquiry to certificate.
Enrollment, bookings and leads
Enrollment is where RTOPilot puts its marketing weight. Rapid Enrol is pitched as the fastest, highest conversion enrollment experience available, and the homepage credits its online booking widget with 20%+ more enrollments, a figure the company presents as its own result. Booking management covers individuals and corporates, flexible pricing and group bookings, and a corporate portal and corporate bookings sit in the feature list. Coupons and discounts are available. Lead management software turns prospects into students automatically, handles lead expiration and records every comment, edit and response in one place. Enrollment workflows are built in, and the integrated LLND assessment runs online during enrollment, inside RTOPilot, as a pre-enrollment check.
Programs are synced from training.gov.au, and the homepage says an RTO can be "Set up in less than 10 minutes" and "Deliver training, right out of the box". The course creation tool lets RTOs "set up training, run bulk updates and launch classes in minutes".
Training delivery and trainers
The trainer side centers on a workspace for "attendance tracking, student notes, outcome feedback and conflict-free scheduling". Training management covers scheduling courses, assigning trainers and monitoring progress, and trainer resource management puts schedules, student information and materials in one spot. QR code attendance, a calendar and scheduling module, resource and file management and a trainer portal appear in the feature list. A student portal gives learners access to their courses, and the company's LMS article describes customizable student and trainer portals with 24/7 access, enrollment tools, certificate generation and resource access.
The built-in LMS
RTOPilot includes its own learning management system, which the homepage describes as an LMS experience built right into the Student Portal. Learning management covers automated course delivery, progress tracking and certificate issuance, and certificate templates are part of the plan. The LMS key features article lists what RTOPilot's courses offer: quick upload of content and creation of assessments, varied multiple-choice quizzes, course materials in rich text formatting, and a clean interface built for high-volume course providers. The student assessment management system lets RTOs "build, deliver and mark assessments in one platform". The feature menu includes an entry for SCORM and online learning. The homepage also says the learning portal is fully embeddable on the RTO's own website so it "looks and feels like part of your brand". For RTOs that already run another LMS, the company's articles say RTOPilot integrates with platforms like Moodle and Canvas, taking over compliance, enrollments and data management alongside them.
Compliance, surveys and reporting
Compliance is the reason most RTOs will look at this product. AVETMISS compliance is automated: the homepage says RTOs can "Validate data, generate accurate reports, and submit AVETMISS data confidently", and the plan includes AVETMISS export. The Compliant list on the homepage names USI collection, handling of AVETMISS compliant data, data export and automated USI verification; a feature called Smart Verify sits under automation. Learner and employer surveys are collected inside RTOPilot "with automated email invitations, portal-based completion, and compliance-ready reporting". The menu also links a Compliance AI Assistant for "Instant compliance answers" and an AQTF learner survey resource. An analytics dashboard and reporting give real-time insight into learner progress and course effectiveness, according to the LMS article.
Communication, branding and automation
A communication and notification system manages notifications, and automated email reminders keep students moving; the homepage credits streamlined processes and reminders with 2x on-time completions. Workflow automation runs from AVETMISS data capture to enrollment, payment and student communication. An AI onboarding feature promises "No more manual data entry". Branding and white-label settings apply the RTO's colors, logo and signer details to emails, certificates and attendance sheets from one place. Invoicing and payments, online bookings and payments, bulk updates and advanced student records round out operations. For partners, a partner relationship manager lets RTOs manage partner organizations, share their courses and units, and track every enrollment in one place. An API connects other tools, with no developer required for basic setups, according to the homepage.
Pricing and trial
Pricing is published and unusual for this category. The Business Plan includes all features for a 2% booking fee, capped at $5 per enrollment, and the homepage marks it "Best for short course RTOs". Under "Transparent Pricing" it lists no lock-in contracts, no annual license fees, no credits or overuse charges, and "No quotes, sales teams or packages". The plan's key features are the built-in LMS and integrations, automated USI verification, LLND assessment, trainer portals, certificate templates, AVETMISS export, email reminders, corporate bookings, student portals, QR code attendance and online bookings and payments. RTOs can "Try it for free" with no credit card required, or book a demo, and a pricing calculator gives a quick estimate. The homepage also states that RTOs report average annual savings of $30k+, a figure the company attributes to its customers.
Support and security
Support runs 7 days a week from what the homepage calls "Australian-based support". The platform advertises enterprise-grade security with automated backups and data centers in Australia. A help center offers learning videos, and a "Switch to RTOPilot" page offers free migration support, with a separate legacy login for customers of the previous system (Reviva).
Who it suits
RTOPilot fits Australian RTOs, especially short course providers, that want enrollment, bookings, online learning and AVETMISS and USI compliance in one browser-based system without a license fee. The per-enrollment fee with a $5 cap ties cost to bookings, which suits providers with many short, low-priced courses. RTOs that sell to employers gain the corporate bookings and portal, and those working through partners gain the partner manager. Providers outside the Australian VET system have little use for the compliance core, and an RTO deeply invested in another LMS can keep it and use RTOPilot for administration and compliance.
