What Teachworks is
Teachworks is web-based management software for teaching businesses: tutoring centers, test prep companies, music schools, language schools and driving schools, plus, per the homepage, online academies, coding schools, arts and enrichment programs and multi-location teaching organizations. The homepage describes it as "dedicated tutor management software designed to automate scheduling, client invoicing, and tutor payroll", and its pitch is "Teach more, manage less." It runs the business side of lessons rather than hosting course content, so it belongs with training management systems, and its client and employee portals, reports and multi-branch master account also serve organizations putting staff and learners through scheduled instruction. The homepage says educators in 67 countries use it, and the FAQ notes that because it is web-based it can be used anywhere with internet access.
Scheduling and the calendar
The calendar is the center of daily work. The FAQ says lessons can be scheduled with a single student, a group of students "or no students at all", and the homepage adds management of tutor and teacher availability and room bookings in one view. Lessons can be dragged and dropped, schedule conflicts checked with one click, and teacher availability seen at a glance. Students can join open lessons or book lessons directly from the business's website, and the features menu lists website plugins. The calendar has adjustable views, color coding and filters, and Teachworks 3.0 added a cleaner month layout and a full screen view for planning a day, week or month.
Daily operations follow the tutorials: adding services, locations, teachers and staff and students; scheduling, completing and deleting lessons; generating invoices; creating packages; recording payments; and tracking hours, earnings and payments. Student, family and employee lists can be imported in bulk.
Billing and payments
Billing is where the product saves most time. The FAQ lists package billing, billing by service type, per hour and flat-fee, with premiums and discounts for specific students, and student costs generated automatically from profile settings. Invoices can carry packages of hours that are then tracked as a client uses them, and they pull lessons straight from the calendar so nothing is re-entered. The Invoice Autopilot processes "one invoice or thousands with the click of a button."
For payments, the FAQ says "we have a built-in integration with Stripe", with partial integration possible with PayPal or Square. Businesses can invoice and charge clients in their local currency, including CAD, GBP, EUR and AUD, and configure regional taxes such as VAT or GST.
Tutor hours and payroll
On the staff side, Teachworks tracks teacher and tutor hours and earnings automatically from the calendar, which the homepage says eliminates "manual timesheets with data calculated instantly as lessons are added." Payroll notifications are among the automated emails, and the tutorials cover hours, earnings and payments for employees.
Communication and records
Automated notification emails include welcome emails, billing notifications, payroll notifications, lesson reminders and lesson notes templates. When completing a lesson, teachers add internal notes and shared notes, and shared notes can be emailed to customers or seen in their user accounts, which is how lesson feedback reaches families. Clients can get user accounts to view and manage their own schedules, with the business controlling what they see. Add-ons extend this: an Email add-on for templates and grouped recipients, a MailChimp integration that syncs contacts to MailChimp lists, a Follow-Up add-on and a Note and Communication Logs add-on.
Reporting covers a customizable dashboard with performance numbers, invoice totals, overdue invoices and hours by status, plus breakdown reports, time series reports, a lesson summary report, a first lesson report to find new students for follow-up, and a last lesson report to spot inactivity up to a chosen date. Student profiles hold progress reports and lesson history.
Integrations, add-ons and online lessons
The FAQ says Teachworks offers "70+ integrations and add-ons at no extra charge for all pricing plans", while the homepage now cites more than 80 free integrations and add-ons. A few Pro add-ons cost extra "because they involve higher operating costs, more development effort, or are niche", and every Pro add-on includes a free 3-week trial before its fee is added to the monthly invoice. For live online teaching, Teachworks integrates with Lessonspace and, since version 3.0, Pencil Spaces, which the company describes as combining HD video calls, interactive whiteboards and real-time document sharing in one browser tab. Customers can request new integrations in a feature ideas forum where other companies vote.
Teachworks 3.0, mobile and languages
Version 3.0 brought sidebar navigation, tabbed pages, simpler search and filters, a custom dashboard layout, dark mode and an updated client portal. On mobile, the company says it has reengineered Teachworks to give a native-app experience in the mobile browser, with no app downloads required. Teachworks can be translated into 45 languages, and the Teachworks AI Agent gives platform support in 46 languages.
Plans and pricing
Pricing combines a monthly fee with a fee per student lesson, and lessons count per student, so a lesson with 2 students is two student lessons and canceled lessons are excluded. The pricing page lists Starter at $16.49 a month plus $0.320 per student lesson, Growth at $47.99 plus $0.189, and Premium at $187.99 plus $0.065, with Premium including the first 5 branch accounts and $35 a month per additional branch. The same page also shows a lower set of figures, Starter at $15 plus $0.25, Growth at $45 plus $0.15 and Premium at $175 plus $0.05 with $30 per extra branch, and its plan calculator quotes Starter at $15 a month. Every plan includes unlimited students, teachers, user accounts and emails under a fair usage policy; API access starts on Growth. Bulk emails are free up to 1 per student lesson per month, then $1 per 1,000.
Each plan starts with a free 21-day trial. Fees are charged in US dollars, billed after each month based on usage, with no setup or cancellation fees and no contracts. Plans can be upgraded or downgraded at any time, and group-lesson businesses can apply a discount in the calculator.
Support and security
Support runs by email, through the AI agent in the app with a human on request, and on WhatsApp with "24/7 help" and routing to a senior specialist for complex issues. The FAQ says data is hosted with Amazon Web Services in the US, with continuous and periodic backups, a replica database promoted if the master fails, and SSL on all connections.
Who it suits
Teachworks fits tutoring centers, music, language and driving schools and test prep businesses that schedule many lessons, bill families or clients and pay tutors by the hour. The per-lesson model ties cost to activity, and the master account suits a business adding branches. It manages lessons rather than delivering course content, so a provider selling self-paced video courses would pair it with a separate course tool.
