Tap a star to rate

accessplanit is a training management system (TMS) for organizations that run training as a business: commercial training providers, university and college departments selling short courses, charities training their members, and in-house teams delivering programs at scale. Its homepage pitch is "50% less admin. More time to deliver great training," and it describes the product as "one connected platform" that covers "scheduling courses and automating admin to giving clients and learners complete visibility."

The company calls itself "a family run, UK based organisation" and says it has "over 20 years' experience working exclusively with training providers." The sectors it names are education, professional development, trade skills, vocational, not for profit and healthcare, and its FAQ adds safety, professional services, manufacturing, charities and public sector training.

What a training provider gets

Course management and scheduling. The company calls course management "the cornerstone of any great training management system." Using a central calendar, new course dates "can be scheduled, populated and advertised in seconds," and each date then carries its delegate bookings, communications, finance, tasks and resources. The FAQ says the platform covers face-to-face, online, eLearning and blended programs, and the homepage adds recurring sessions and multi-day programs.

Resources. Trainers, venues and equipment sit on a single calendar with "real-time clash detection," so double bookings are flagged. The guide says "Exchange integration ensures that calendars align," and that the stored cost of each resource lets a provider calculate a course's viability and profitability.

Online booking and payment. Customers and delegates can "book, pay or make course enquiries 24/7/365." The guide describes payment through several gateways, discount codes, vouchers and course add-ons, and the finance module generates invoices, reminders, credit notes, statements and refunds, with the option "to charge for courses in different currencies."

Automation. A workflow engine sends a communication or creates a task when a trigger fires. The homepage lists joining instructions, reminders and follow-ups sent automatically, and certificates, compliance records and invoices generated "instantly." The FAQ adds enrollments, cancellations and expiry tracking, and says providers "report saving hundreds of admin hours every year."

Sales, CRM and feedback. A built-in CRM manages leads, pipelines and forecasts and tracks delegate communications, and the sales tools run marketing campaigns and can "advertise live dashboards of courses on your website." The surveys module lets providers "Create, configure and modify unlimited surveys."

Portals. Learners get self-service portals "for bookings, payments and certificates," and trainers, managers and clients get portals "to track schedules, progress, and spend." The menu lists a Trainer Portal and Manager Access as separate features.

Reporting. Off-the-shelf reports and dashboards, or custom ones, cover revenue, performance and utilization, and data can be pulled into Power BI.

Learning and compliance

accessplanit is a TMS first, but it includes learning delivery. The guide says a TMS comes "With a built in CRM and LMS," and the FAQ says providers can "schedule in-person courses, deliver live online sessions through Microsoft Teams or Zoom, and manage on-demand eLearning all within the same platform." The learner management module guides learners through courses, gives access to documents, tracks progress and manages qualifications "with notifications upon expiry." The guide also notes that accessplanit can integrate with an LMS such as Moodle for providers who keep a separate eLearning platform.

For compliance training, the FAQ says the platform "tracks certificates, accreditations and expiry dates automatically, sending reminders to learners and managers," and that "Real-time reporting makes it easy to prove compliance at any time." One customer quoted in the guide says it "provided a platform for hosting our eLearning modules" and let "managers to access the compliance training status of their teams."

AI features

accessplanit AI is presented as help for working through data. Users can "ask questions in plain English, generate filters instantly and surface key updates in seconds," AI Summaries highlight "important activity on a record," and an in-platform assistant called Juno gives guidance inside the system.

Integrations

The FAQ names Microsoft Teams, Outlook, finance systems, CRMs and payment gateways, plus "an open API so you can connect to the rest of your tech stack." The homepage adds syncing delegate data from a provider's website, linking learning management systems and marketing software, and Power BI reporting.

Pricing, implementation and support

The site publishes no prices; buyers request a personalized quote or book a 15-minute demo. Its guide says the cost of any TMS depends on several factors and that most are "sold as an annual license," but it gives no accessplanit price.

Implementation timing appears in two forms. The homepage FAQ says implementation "is typically completed in around 60 days," while the longer guide says "As a standard, accessplanit offer a 90-day implementation period" and that customers can often go live sooner. Each customer gets "a dedicated implementation manager as well as a customer success manager," and setup includes data migration.

Support comes four ways, according to the guide: a customer support team "available by phone 9-5 Monday to Friday," a ticket system inside the interface, the accessplanit Academy for learning the system, and a help guide with video tutorials and FAQs. The company describes its approach as "Software with a Service."

Customers quoted on the homepage include Mike at Sphera, who says invoicing "now takes us 2 hours at the end of the month," where it used to take days and an additional person, along with Alex at 3B Training and Lucy at Project ECHO. The site points to reviews on Capterra and G2.

Who it suits

accessplanit suits established training providers that sell scheduled courses to individuals and companies and need bookings, payments, trainers, rooms, invoices and certificates in one place. A provider running many dates a year across several trainers and venues gets clash detection and automation where it saves the most time. Organizations with compliance training get expiry tracking and manager visibility, and providers that also sell eLearning can host it in the same system.

It is less suited to a solo coach or a creator selling one online course, since the product is built around managing trainers, venues and delegates as a business. With implementation measured in weeks and pricing by quote, it fits a provider planning a system change rather than one that needs something running the same day.
