Administrate is a training management system for organizations that run instructor-led training at enterprise scale. Its homepage headline is "Automate live training operations you can’t afford to get wrong," and the product menu describes it as "Built for enterprise" and reliable, secure and built to scale. It is aimed at two kinds of buyer: enterprise training teams putting large numbers of employees, partners or customers through classroom and virtual classroom sessions, and training companies that sell courses. The FAQ says a TMS like Administrate is "for teams that train large numbers of learners," and that training companies use it to track financials, package training, and report on sales and marketing.
Administrate is not a replacement for an LMS. The FAQ puts it plainly: "A TMS is not a replacement for an LMS, but rather works with your LMS to eliminate errors from tedious training operations." The company's article on the difference describes a TMS as software that "centralizes training data, automates communications, assigns instructors based on credentials, books venues, and tracks KPIs," replacing the spreadsheets that often hold instructor-led programs together. Administrate's argument is that classroom training still matters and that LMS platforms were not built for its logistics; the article cites ATD's 2023 research that 89% of organizations still rely on classroom training as their primary delivery method.
What it does
The homepage organizes the product around four verbs:
- Plan: course templates standardize setup "so every session runs consistently at scale," and learning paths group training into sequences.
- Schedule: the AI Scheduler aligns "instructors, rooms, and learners without conflicts or manual rework." The site says it can build optimized schedules across hundreds of constraints in minutes.
- Communicate: automated email and SMS updates keep everyone informed before, during and after sessions.
- Resolve: conflict alerts "Catch double-bookings, missing resources, and low fill rates before they derail training." The site says Administrate finds a solution on its own when things go wrong, and once the team approves the change, everything is updated automatically.
The core feature list also names a calendar, document management, instructor management, resource management, certificates and achievements, and a reporting engine. The reporting engine shows metrics across all sessions, such as revenue generated, learning outcomes and utilization, and the site pitches it at leadership asking whether the training investment pays off.
For training sold commercially, the revenue engine lets a provider "Sell trainings a-la carte, as a subscription, or as an additional charge with the purchase of equipment," the last of which suits manufacturers that train customers on the machines they buy.
Why instructor-led training needs its own system
The FAQ explains the case for a separate tool: instructor-led training is harder to manage than self-paced learning because "You have to consider facilities, equipment, instructor availability, and how you will travel, house, and feed learners." The solutions menu frames the product as making "ILT as easy as eLearning," and lists six use cases: streamlining operations, growing training capacity, compliance, increasing revenue, standardizing the training process, and AI for training operations. On capacity, the homepage gives the scenario of an acquisition or a move into a new market, bringing more learners, sessions and locations, and says Administrate replaces the manual work so the team can meet a spike in demand without extra effort.
Compliance and risk
Administrate makes a strong pitch to regulated industries. The homepage describes the risk it guards against: "A missed certification. A failed audit. An instructor without the right credentials training 200 people." A compliance use case covers audit readiness, tracking regulatory training and reducing risk. The trust and security menu lists the platform as "SOC 2, ISO 27001, GDPR, and HIPAA compliant." Industries named in the menu are industrial engineering, manufacturing, software and technology, business services, healthcare and medical, finance, energy and utilities, transportation and logistics, and training providers.
AI features
The AI and workflows menu lists four tools: Automator, AI Scheduler, AI Insights and an AI Assistant. The homepage says "Our AI never uses outside data to make decisions, so it can’t hallucinate wrong answers or expose sensitive data," and that teams can get plain-language answers to questions about their training.
Integrations
Administrate's integration claim is that it "connects your LMS, HRIS, finance systems, and compliance systems together, keeps data synced, and keeps it secure," and that teams can build integrations without IT resources. The menu names integrations with Docebo, Salesforce, SAP SuccessFactors, Cornerstone, Workday, Google Suite and Microsoft Office, and the TMS article adds ERP tools to the built-in list. A developer portal offers an API for building integrations, tooling and workflows. For a global business, the site says Administrate can connect to all regional systems to minimize change management and keep the learner experience consistent.
Customers and results
The resources menu lists customer stories from TÜV SÜD, Maersk Training, Roche Diagnostics, First Intuition, Siemens Healthineers, Ping Identity and Wilmington PLC. A banner on the homepage says TÜV SÜD standardized global training and reduced overhead by 81%.
Three customer results appear on the homepage. Melissa Standard, Head of Innovations Operations Enablement, says Administrate "slashed manual tasks by 90%, and given us thousands of hours to reinvest into training. They did it all in 90 days," with the case study showing 90% of training operations automated and a 233% increase in learner participation. Maria Carcache-Jatib, Manager, Maritime Admin and System Support, is credited with 87% of admin tasks automated and 10% of training budget recovered. Leonie Schwede, Director of Customer Training, says "we saw 90% of our manual work vanish overnight," next to a 567% increase in registrations and an 84% reduction in ILT setup time. These are figures from individual customer case studies, not typical results.
Onboarding, support and pricing
Administrate positions its service as high-touch, with "Onboarding in as little as 12 weeks." Resources include Administrate University, documentation, a support portal, events and webinars, and professional services. The footer links to a pricing page; the route in is a demo.
Who it suits
Administrate fits large organizations where classroom and virtual classroom training is critical and complex: manufacturers training customers and field staff, healthcare and finance businesses with regulated training, energy and logistics companies with certification requirements, and large commercial training providers. It suits teams that already run an LMS, such as Docebo or Cornerstone, and need the logistics layer on top, with HRIS and finance connections. The onboarding timeline and the enterprise focus mean it is built for organizations with hundreds of sessions to coordinate rather than a small provider running a few courses a month.
