What Oases Online is
Oases Online is a cloud-based management platform for tutoring businesses and other session-based education providers. The homepage calls it "an all-in-one tutor management platform for tutoring businesses" and the footer credits LanBlue Inc. The features FAQ says it brings "scheduling, student and tutor coordination, invoicing, payroll, credit card processing, progress reporting, marketing, and parent communication" into one system, replacing separate spreadsheets and disconnected tools. The site's tagline is "Helping Tutoring Businesses Thrive Since 2003". Tutoring centers and test prep companies are the main audience, and the examples page widens it to "any business that provides a session": swim schools, riding lessons and sailing schools, with "tutor" renameable to instructor, teacher or counselor and "program" to labels such as Park, City or Stables. For an organization training people session by session, it works as a training management system rather than a course player.
Scheduling, matching and attendance
Scheduling is the center of the product. The FAQ says Oases offers "intelligent scheduling with real-time calendar sync, automated reminders, and tutor matching". An administrator enters a student's preferred schedule and subject, and Oases returns tutors who are qualified and free. The matching FAQ says Oases filters tutors by 5 key items: qualifications, subjects and levels; specialist skills such as ADHD or dyslexia training; location; availability; and tags. Sessions can be set as a repeating schedule or a single one-off session, customers can request sessions through their login, and customers can book directly through the MarketPlace storefront on the business's website. The homepage also lists optional tutor-led schedule management, and the feature menu includes a Schedule Bid tool. A job board lets the business post tutoring jobs that tutors see in their TutorPlace login, where they accept or decline and Oases tracks the responses.
Tutors log in to view sessions, make notes and close out sessions, and the homepage's structured data lists email and SMS reminders. Businesses can run as many programs and locations as they want: programs act as separate cost centers, each with its own billing setup, student roster and staff access, and tutors can be given permission for one or many. The features FAQ suggests this suits a business running private tutoring alongside government or school district contracts. A tiered permissions system controls what tutors see in many areas.
Testing, learning plans and progress
The academic side goes further than most scheduling tools. Oases integrates with the Achieve Series of Tests for pre- and post-assessments, includes free SAT and ACT practice test scoring, and lets businesses create their own custom online tests. The features FAQ says "Test results automatically generate targeted learning plans, and all scores, grades, and learning plan goals are stored and reported" through the progress reporting suite. The menu adds an assignment tracker and a whiteboard. That gives a tutoring business something concrete to show families beyond hours logged.
The family portal
Parents use a white-label customer login. Per the features FAQ, they can "view their student's schedule, read session notes, check progress reports, see the assignment tracker, and pay invoices by credit card", which the company says gives families "a professional, branded experience" on the business's own website. Contracts and documents can go out from Oases for electronic signature; customers and tutors sign and keep a copy, and Oases saves the signed document to the record.
Billing, payments and payroll
The FAQ says that "As soon as a session is marked complete, billing and payroll data are automatically ready." Oases supports hourly rates, packaged programs, group classes, camps and contract billing. The features page describes 3 invoicing modules, each split into 2 basic methods, and different methods can apply to different programs. Rates can differ for students buying the same item, even within one family, and an invoice can be split between family members or agencies, with Oases creating both invoices at once. Recurring billing runs automatically at intervals the business chooses, with optional automatic credit card payment at the same time.
Card payments run through the company's approved card processor once a database is linked. A business can keep cards on file and charge at invoicing, run all cards on a chosen date after a grace period, or let customers pay through the white-label login. Other payment methods can be logged against the customer account. Oases recommends using its own accounting features, but businesses can post general ledger entries to accounting software each month and then "Close the Books" to lock invoices and payments before a date. For payroll, Oases keeps a running total of sessions to be paid, supports different rates, closes out at the end of each payroll period, and offers payroll software exports.
Marketing and lead capture
Growth tools are part of the package. The MarketPlace storefront sells services from the business's website, either set sessions such as an SAT test, a full schedule such as a test prep crammer, or service hours used later. WebForms published to the website capture leads or tutor applications and create student and customer records automatically, including at storefront checkout. Tags label records for onboarding or sales, and email templates support individual or bulk emails to tag-filtered lists. The FAQ adds a MailChimp sync and bulk email and SMS for promotions, follow-ups and reminders.
Reporting and integrations
The FAQ mentions "over seventy standard reports" in the report suite plus a Custom Reporting system "where just about any report can be created", and elsewhere 75+ financial and other reports, which the company pitches to tutoring franchises. On the partners page, Pencil Spaces lets tutoring organizations "manage and launch live sessions in Pencil Spaces directly from their Oases dashboard", with special pricing for Oases customers. Lessonspace links its whiteboard and video meeting software to the Oases database for meeting space creation, with session reminders carrying meeting links sent automatically, and Oases customers receive discounted Lessonspace pricing.
Plans, onboarding and support
Pricing is published and set by active students, in US dollars per month: Starter at $99 for up to 25 active students, Basic at $199 for up to 60, Standard at $299 for up to 100, Advanced at $399 for up to 140, Professional at $499 for up to 200, and Ultimate at $699 for up to 350. The homepage says that "As your active student count changes, Oases Online tuition management software will automatically adjust your tier", so customers "always pay the minimum possible".
The first step is a live demo, booked online or by phone. After sign-up the database is created automatically and customers can start working at once, with a Quick Start Guide, an Implementation Planner and a Knowledge Base. New customers get 3 complimentary assistance sessions with Support, and the help center includes live support for administrators.
Who it suits
Oases Online fits tutoring centers, test prep companies and other session-based providers with several tutors, recurring families and a payroll to run. Tutor matching, programs with separate billing and permissions, and the progress tools matter most to a center juggling many tutors, locations or contract types. The storefront, webforms and MailChimp sync help a business that wants to grow enrollment. Because tiers move with active students, a center pays for its current size, and the 350-student Ultimate tier marks the top of the published range, so a larger operation would discuss its needs during the demo. It is a management system for live sessions, not a builder for self-paced video courses.
