What Galaxy is
Galaxy is management software for training centers, sold in French by a company with its address in Martigues. The homepage introduces it as "Galaxy dédié aux centres de formation permet la gestion complète de votre centre" (Galaxy, dedicated to training centers, handles the complete management of your center). It is a training management system: it runs the administration behind in-person and scheduled training, such as clients, catalog, sessions, documents, invoicing, evaluations and calendars, rather than hosting video courses. The company writes that it has worked "Depuis 2007" (since 2007) to meet the needs of training organizations with software adapted to each sector of activity. The footer links to a Qualiopi certificate. For a training organization that has outgrown spreadsheets and folders of signed agreements, Galaxy brings that paperwork into one application with per-user access for staff and personal spaces for trainers and clients.
Catalog, sessions and enrollment
The training catalog is defined by theme and sub-theme, objective and cost. A related online catalog can be placed on the training center's own website, with its design adapted to blend into the site, so prospective trainees register online and the registrations land in Galaxy. The training course for new users shows the depth here: importing programs and linking them to sub-themes, generating pre-built learning paths, maintaining an additional catalog, and setting up "recyclages" (refresher trainings). The homepage says recurring refreshers can be configured so the center is reminded at the right moment.
Sessions are created from the catalog, and staff register trainers, clients and trainees on them, record invoices received from external trainers, and track attendance by day or across several days at once. Training paths can be built from several sessions. The homepage says staff can follow the progress and filling of each session visually, and rooms can be managed with a color code, alongside an Excel-style planning view of room availability.
Documents, signatures and templates
Document handling is the core of the product. Galaxy edits agreements, attendance certificates and invoices and stores them in the application. Signed agreements and attendance sheets can be imported for traceability, and a document manager makes import and search easier. Agreements can be sent by email from Galaxy with a link that lets clients sign online; once signed, the center receives an alert with the document attached, and automatic reminders go out while the signature is pending.
Templates are open-ended. A built-in PDF editor creates and modifies templates "sans limite" (without limit), and Word templates let a center put its own branding on documents. PDF forms such as funding requests can be imported so Galaxy pre-fills them, and the advanced training covers assigning variables to form fields and emailing completed forms. Entering a client's SIRET number lets Galaxy look up the company's details and fill in the record. For the ANDPC, the homepage says "Des documents prêts à l'emploi ainsi que les champs de saisie pour l'ANDPC sont disponibles" (ready-to-use documents and entry fields for the ANDPC are available).
Quotes, invoicing and finance
Billing follows the training. The homepage says centers can invoice their trainings "en 1 clic" (in 1 click) and send all invoices just as easily, and it describes the cycle as turning trainings into quotes, quotes into invoices, and invoices into training. Quotes can be created automatically from a session, then converted into invoices. The training content lists payment recording, credit notes, partial invoicing, a sales journal, and individual or grouped reminders. Financial charts show the center's development by month and by year, and further charts in Excel format show the most profitable clients and those who train the most staff. Staff can also produce the annual pedagogical report and financial summaries, and log incoming and outgoing calls with an Excel export.
Automation, evaluations and calendars
Galaxy's rules engine sends emails automatically each day, internally or externally. The homepage gives examples: sending evaluations X days after a training, sending invitations X days before, and an alert if a session has too few registrations. The user training adds a reminder with a duplicate invoice X days after the due date, appointment alerts X hours before, automatic invoice sending, and a checklist of required documents per file with reminders for missing items.
Evaluations run online. The software emails trainees and clients a satisfaction form they answer directly online without any download, and results appear as charts. Grouped sending of evaluation forms is part of the advanced training.
Several calendars cover trainings, rooms, trainers and resources. The homepage says these calendars can be synchronized with the user's usual calendars, naming Apple and Google Calendar, and the training describes linking a Google calendar with automatic or manual sync. An online calendar can also be published on the center's website.
Users, trainers and customization
Several staff members can work in Galaxy, each with their own permissions. Trainers get a personal space where they can take attendance and see registered trainees, and clients get dedicated spaces too. The dashboard is built from widgets, so each user arranges the view they need. The homepage calls the software "intuitif et entièrement personnalisable" (intuitive and fully customizable): fields, menus and other elements that do not suit a sector can be hidden, forms can be completely reorganized, and the center chooses which fields are mandatory. The theme of the application can be changed too.
Security and data protection
The homepage says all data is backed up every day to different sites and different hosting providers, and that SSL encryption protects data in transit. On GDPR (RGPD in French), the company says it has appointed an external data protection officer.
Pricing, trial and training
The homepage invites visitors to try Galaxy free through a demonstration version, and the menu links to a pricing page, though neither the homepage nor the training page prints a price. The company runs its own training on the software. The beginner course, "Logiciel Galaxy initiation", lasts "4 jours soit 28 h" (4 days, or 28 hours) and is aimed at administrative staff and trainers, with access "7 jours après validation du devis" (7 days after the quote is approved). An advanced course, "Galaxy perfectionnement", runs 3 days or 21 hours. Both use practical cases, both close with an evaluation and a training certificate of attendance, and both are open to people with disabilities through a named disability contact. The trainer is the software's designer, Nicolas Biltgen, described as a former training center director who later worked at several OPCO.
Who it suits
Galaxy fits French-speaking training organizations that run sessions for companies and individuals and spend much of their week on agreements, attendance sheets, quotes, invoices and evaluations. Centers working with ANDPC funding gain ready-made templates, and those running mandatory refresher courses gain the recycling reminders. A center with several administrators and external trainers benefits from the per-user permissions and trainer spaces. The software and its training are in French, and it manages training rather than delivering it online, so a provider that needs a course player for self-paced video lessons would pair Galaxy with a separate tool.
