What CoachVantage is

CoachVantage is all-in-one software for running a coaching business. The homepage sums it up as "Everything you need to run and grow your coaching business. Manage coaching programs, scheduling, payments, contracts, online courses, and clients from one platform." It is a cloud-hosted web application that is mobile responsive, and the FAQ is explicit that it is not an iOS or Android app, that it runs in current versions of Chrome, Firefox, Safari and Edge, and that only English is supported. The company named in the FAQ is CoachVantage Private Limited.

The FAQ lists the niches its coaches work in: life, executive, leadership, career, business, ADHD, wellness, spiritual and relationship coaching. The homepage frames the product around three stages of a practice: a coach starting out who needs landing pages, booking, video links and an hours log; a growing coach adding clients and programs without extra fees; and a coach scaling into group programs, online courses and client communities.

Programs, sales pages and onboarding

One-to-one programs can be sold as packages or pay-as-you-go, where clients book and pay for individual sessions, and a program can be counted in sessions or in hours, with the platform tracking how many a client has used. Each program gets a branded sales page built with a page builder; it can stand alone or be embedded in your website, so a coach without a website can still sell. Clients complete an intake form, sign an e-contract and pay on that page, and the FAQ says this onboarding runs as one workflow. Once enrolled, automation rules send material to clients at a cadence you define.

Group coaching programs work the same way, with payment, e-contract, intake form and portal access, and on the Aha! plan you can create cohorts within a group. When you schedule a session for a group program, the system sends an invitation to every enrolled member.

Scheduling

Scheduling is built in, so there is no separate booking tool. Clients self-book from your booking page, or you create appointments yourself, including recurring ones. You set working hours, buffer times between appointments and blocked days, and you can create several Availability Types for different programs or events. The pricing page lists cancel and reschedule policies, time zone conversion, an intake form on the booking page, payment for bookings, an embeddable booking page, and email notifications and reminders; the homepage adds SMS reminders. Calendars sync both ways with Google Calendar, iCloud, Outlook, Exchange and Office 365, and sessions run on Zoom or Google Meet. Missed sessions are recorded with a reason, visible to coach and client, and you choose whether a no-show counts against the client's package.

Client portal, forms and contracts

Clients get a branded portal with their programs, courses, notes, resources and appointments, plus goals and assignments to keep them accountable. Coach and client can both upload documents, worksheets, exercises, PDFs and videos to the resource library. The forms feature covers intake forms, session check-ins, evaluation and feedback forms, goal-setting worksheets and action plan templates, with responses viewable in aggregate as charts. Contracts go out for e-signature with an audit trail for every signed document, saved templates and drag-and-drop signer fields, and on Aha! an e-contract can be embedded in a program sign-up page. The CRM creates a contact record automatically when a client joins a program, and contacts can be tagged for bulk actions.

Payments, the coaching log and courses

Invoices can be one-off or recurring, clients pay by credit card or PayPal, and you can record manual payments such as cash or check; Stripe and PayPal are the payment gateways, and recurring subscriptions can be automated. The pricing page promises "No commissions on the revenue you earn."

The coaching log is the feature ICF-track coaches mention most. It records paid and pro bono hours automatically "in the ICF coaching log format", and the log exports as a CSV file to support a certification application. One coach quoted on the homepage, Kim Anthony, writes that "It automatically logs my paid and pro-bono coaching time after every session."

Online courses come in the same platform, so clients reach sessions, programs and courses from one portal, and courses can include community participation. Vanta, the built-in AI assistant, drafts coaching program descriptions, course structures, modules and lesson outlines, and marketing copy for landing pages; the homepage stresses that you use it only when you want to. Branding covers a personalized subdomain (yourbrand.coachvantage.com) and your logo and colors on the client portal, invoices, emails and landing pages.

Plans and pricing

The pricing page lists two plans, with 10% off for yearly billing:

  • Clarity, $39 a month billed monthly or $35 a month billed yearly, recommended for coaches in training or just starting: unlimited contacts and coaching engagements, 2 group coaching programs without cohort management, 2 one-to-one program sales pages, 2 booking pages, 4 e-contract signatures a month, online courses (the plan card says 2, the comparison table 1), 2 contract templates and 500MB of file storage.
  • Aha!, $59 a month billed monthly or $53 a month billed yearly, recommended for established, full-time coaches: unlimited group programs with cohorts, unlimited sales pages and booking pages, unlimited e-signatures, 5 online courses, 5 contract templates and 1GB of storage.

Every other feature is on both plans. A 14-day free trial needs no credit card. The page also promises no "free forever" plan, no lock-ins, no limit on how many clients you coach and no charge for branding. You can upgrade from Clarity to Aha! at any time but cannot downgrade, because removing the extra programs and events would mean deleting data. Monthly subscriptions are non-refundable, with access continuing to the end of the billing cycle after you cancel; yearly subscriptions are refundable case by case, at the company's discretion, recalculated at the monthly rate for the time used.

Support runs through in-app chat and email, and the pricing page says replies come in under 4 hours and no later than 12 hours, weekends included. Migration from another platform is handled as a free white glove service, new users can book a free 1:1 onboarding workshop, and there is a knowledge base with video tutorials. On security, the FAQ cites GDPR and CCPA compliance, SSL encryption, PCI compliance and hosting on Heroku within Amazon's data centers.

The marketplace

The CoachVantage Marketplace collects resources, templates, courses and workshops for coaches, coach certification programs, business management services and financial and legal support. Recent listings include a Client Attraction Starter Kit of 8 resources at USD 29.00 and a Launch Master Workshop at USD 39.90. The page discloses that some links are affiliate links that earn CoachVantage a commission.

Who it suits

CoachVantage suits an independent coach who wants scheduling, onboarding, contracts, invoices, a client portal and courses in one system at a fixed monthly price. Coaches working toward an ICF credential get real value from the automatic coaching log, and the Clarity plan is pitched at exactly that stage. A full-time coach running several programs or groups with cohorts needs Aha!. The caveats are practical: there is no native mobile app, only English is supported, and moving down from Aha! to Clarity is not possible once you have upgraded.
