What Coaching Loft is

Coaching Loft is coaching management software: one dashboard where a coach runs clients, sessions, notes, scheduling, agreements and invoices, with a free portal for every client. It is built for three groups, which the homepage names as individual coaches, coaching firms, and organizations building a coaching culture. The homepage says "4,300+ Professional Coaches & 360+ Organizations across 100 Countries are on CoachingLoft.com", and the site calls it "Best Coaching Management Software 2024". The company's address is Dubai South, Dubai, UAE, and the enterprise page says the platform is hosted in the UAE. A small detail on the homepage: Coaching Loft plants a tree each time a coach renews a paid subscription.

Running a coaching practice on it

The feature list covers the day-to-day work of a coach. Appointment scheduling lets clients book into your calendar through scheduling pages, with calendar sync. Integrated video conferencing handles one-on-one sessions with a built-in tool, or you can connect Zoom and Teams for one-on-one and group sessions. The coaching notepad and session notepad give quick access to client records during a session, and session logging updates automatically after each session; logs can be shared with coachees, imported and exported, and the homepage describes them as "a downloadable record ready for accreditation". Coach and coachee each keep a journal that can be shared in a session.

Between sessions, the client portal lets coachees schedule sessions, manage assignments, complete tasks, set goals and chat with the coach. Coaches assign actions and nudge clients with comments, and goals and milestones structure longer pieces of work. A library of 500+ coaching questions can be assigned before sessions, bundled, or extended with your own. Program templates turn a standard engagement into something reusable, engagement automation schedules sessions and content in advance, and assessments include templates, 360 assessments and your own forms, with reminders and completion notifications. Feedback forms go out after each session or at a frequency you set.

For the business side, coaching packages bundle services and products into offers you can publish on your website and social media. Coaching agreements with e-signature set terms, schedule invoices and send automated reminders. The invoicing feature creates and sends invoices on schedule and tracks unpaid ones, and it can be connected to QuickBooks through Zapier. Further integrations are listed in the support guide. Apps run on the web, iOS and Android.

The directory and getting clients

Coaching Loft adds a lead source on top of the software. Every coach on the platform gets a public profile in its Find a Coach directory, and the profile builder shows expertise and packages. People looking for a coach can filter profiles and message coaches directly, or post a request and let coaches apply. Coach matching is a complimentary service for clients, and coaches are notified when a request matches their profile.

Any coach can create a free directory profile without a subscription. Clients can then send coaching requests, but to open a request and take the client on, the coach needs a paid plan, the $12 Basic plan included.

AI features

The AI Support Agent, which answers platform questions around the clock, is on every plan. Premium and Master add Luma, an AI coach assistant for session preparation, suggested coaching questions and support between meetings; AI Notepad Summaries, which sort a coach's raw notes into introduction, goals, actions and conclusions and, the page stresses, do not record or transcribe sessions; AI-Generated Reports; and Predictive Analytics. Firm and enterprise accounts also get AI Coach Matching, which pairs coachees with coaches by goals, expertise, availability and coaching style. The enterprise page says all six AI features are included at no extra cost.

Plans for individual coaches

The pricing page lists four plans. Every plan includes free client portals, a directory profile, the AI Support Agent, session notes and goal tracking, scheduling with calendar sync, document sharing, chat and the mobile apps.

  • Basic, $12 a year, billed annually only: 2 active clients, 50 MB of storage, Google Calendar sync, the dashboard, notes, journal and goal tracking. Leads, invoicing, agreements and packages start on Core.
  • Core, $25 a month or $250 a year: 10 active clients, 500 MB, 2 scheduling pages, full calendar sync with Google, Exchange, Outlook and Office 365, client leads, public package listings, packages and programs, agreements with e-signature, invoicing and payment tracking, group coaching, assessments and 360 feedback, custom email messages, and reports and analytics.
  • Premium, $55 a month or $550 a year: 30 active clients, 1 GB, 5 scheduling pages, priority support and the full AI suite.
  • Master, $95 a month or $950 a year: unlimited active clients, 2 GB, unlimited scheduling pages, your own logo and colors, email notification control and dedicated account support.

Yearly billing gives two months free, which the FAQ spells out as $250 instead of $300 on Core, $550 instead of $660 on Premium and $950 instead of $1,140 on Master. Core, Premium and Master come with a 14-day free trial. Upgrades take effect immediately, downgrades apply from the next billing cycle, and you can cancel any time. Client portals are free on every plan, so the price follows the active client limit of the plan rather than a per-client fee.

Coaching firms and enterprise

For firms and organizations, the enterprise page charges $95 a month per coach seat on a 12-month term, or $950 per coach seat per year paid upfront, with volume discounts on request. Coachee and admin seats are unlimited and free, so program managers, HR partners and L&D leads can be added as administrators without cost. The enterprise panel adds and assigns coaches, moves clients between them, and oversees coaches, coachees and organizations from one dashboard, and internal and external coaches can sit on the same account. Other inclusions are white labeling with a custom domain, custom navigation and role-based access control, unified login across coach, coachee and admin roles, reports on activity, completion, feedback, outcomes and ROI, bulk upload of up to 1,000 coaching engagements, invoicing method templates, a demo coach account and 2 GB of storage per coach seat. Single sign-on is a paid add-on quoted by the number of seats. On security, the page lists GDPR compliance, 256-bit encryption, a security audit report on request and data processing agreements for enterprise. Firms and enterprise get a 30-day free trial.

Consultancies, coach education providers and software resellers can join the partner program, which pays a 10-30% recurring revenue share for as long as a referred client keeps a paid subscription and comes with a dedicated partner manager.

Who it suits

Coaching Loft suits an individual coach who wants practice management, a directory listing and client portals at a low entry price, and the Basic plan at $12 a year is an inexpensive way to get listed and try the tools with a couple of clients. Growing practices move up as their active client count rises, and the AI suite starts at Premium. Coaching firms and organizations get per-coach pricing with free coachee and admin seats, white labeling and reporting, which fits an internal coaching program that will reach many employees. One coaching director quoted on the homepage likes that "clients can book their sessions directly in my calendar". The caveat is that each individual plan caps active clients until Master, so a solo coach with a large roster should plan for the higher tiers.
