What CoachAccountable is

CoachAccountable is coaching management software for professional coaches and coaching organizations. The homepage sums up its purpose as "Help your clients do the work with Actions, Metrics, Session Notes, Worksheets and more," and its argument is that coaching results happen between sessions, when clients either apply what they discussed or do not. The site says it has been used since 2012 by thousands of coaches, from newly certified individuals to Fortune 100 companies, and the footer says it is "lovingly crafted in St. Louis, Missouri." The blog recently marked the product's 13th birthday, and a recent post covers version 5.1.1. The company behind it is CoachAccountable, LLC.

The FAQ lists the kinds of practice it fits: life, business, health and wellness, relationship, career, team and group coaching, financial coaching and executive leadership programs. Menu items for a Team Edition, Schools and Enterprise show the same software offered to larger organizations. The homepage gives three reasons coaches choose it, in ascending importance: it saves time by automating admin, it helps coaches close more clients by looking professional and results-based, and it gives clients more by keeping them moving between sessions.

Actions, metrics and session notes

The core tools are the ones named in that tagline. Actions and Action Projects are how a coach helps clients create and carry out action plans, and a company webinar on the subject opens with the line "Even brilliant coaching is worthless until acted upon." Metrics let coach and client track the numbers that matter, from a sales goal to more subjective measures, and a second webinar covers setting them up as "games worth playing," running them well and drawing lessons from the results. Session notes build a running record of the work, and worksheets give clients structured exercises to complete between calls.

On the client side, the homepage lists tools to track progress and manage online courses and coaching plans, timely reminders to keep momentum, a running record of results, materials and insights, and a mobile app for keeping up on the go. The FAQ explains that the app is web-based: there is nothing to download or update, but it can be added to a phone's home screen and carries the coach's branding. New accounts come preloaded with complimentary worksheets, session note templates, files and courses that coaches can use as they are or adapt.

Groups and courses

The one-to-one tools extend to group work. With Groups, members get group assignments so they stay mutually accountable, and Group Metrics let everyone see one another's results and how the group performs as a whole. Courses let a coach design programs that span weeks or months from their own tried-and-true material, add participants on whatever schedule they choose and then be "as hands-on or off" as they like while the software runs the rest.

Teams and organizations

For practices with more than one coach, the homepage promises "Administrative oversight with clear accountability," coordinated team coaching, transparent records of coaching effectiveness and shared resources for consistent program quality. It describes this as a way to manage a coaching team with rigorous accountability and oversight at a detailed level. The most prominent testimonial comes from Michael Hyatt, a customer since 2019, who writes: "We now have all fifteen of our coaches using it."

Selling, payments and integrations

Coaches can sell coaching through the platform. Payments run through the coach's own processor, Stripe, Square or PayPal, and the FAQ says CoachAccountable takes no cut of what clients pay: the only fees are the merchant fees the coach already has with that processor. The FAQ also confirms an API and a Zapier integration, and there is an affiliate program for users who genuinely recommend it.

White-labeling is encouraged. Coaches can customize colors and logo and get a white-labeled login widget so clients sign in from the coach's own website, although the FAQ is clear that the platform always runs on coachaccountable.com, so it cannot be passed off as a coach's own proprietary software.

Billing, trial and data

Billing is monthly and based on the number of clients active on the billing date, with no upfront or setup fees and no contracts. Coaches can deactivate clients at any time, and the FAQ says an account is downgraded automatically when the coach qualifies for a lower-cost plan. The plan prices sit on a separate pricing page. A 30-day trial needs no credit card, and canceling takes a couple of clicks. Setup is quick by the FAQ's account: a "10-minute test" covers the basics, and a coach can go from new account to selling coaching on their website in under 3 minutes. All data can be exported at any time, including a client's complete record in a portable format.

Privacy, languages and support

The FAQ states that CoachAccountable is fully GDPR compliant and extends those privacy rights to all users worldwide. It also states that the platform is not HIPAA compliant, so coaches with a strict HIPAA requirement cannot use it. The interface is English only, though the FAQ notes that many coaches work with non-English-speaking clients because most of what clients read is the coach's own material, and browser translation fills much of the rest. Support includes a Getting Started guide, an in-app help center, a knowledge base and a real person on the other end of a support request. A webinar series covers action plans, tracking, session notes and setting up an account.

What coaches say

Brian Icenhower, a customer since 2017, writes: "Without CA, we were spending three hours a week with clients." He adds that it is now closer to 30 minutes, while serving more clients. John Kenworthy, a customer since 2012, says it has "become more and more indispensable in my business," and Twila Gates, a customer since 2013, writes: "I wouldn't go back to coaching without CoachAccountable."

Who it suits

CoachAccountable suits coaches whose results depend on clients doing the work between sessions: business, career, health and executive coaches who set action plans and track metrics and want a record that shows clients what changed. Its team oversight, monthly billing by active clients and API suit coaching companies with several coaches, and the group and course tools let a practice add programs alongside one-to-one work.

It is less suited to coaches who need HIPAA compliance, coaches who need the interface itself in another language, and anyone who wants the platform to run entirely on their own domain as a proprietary product.
