Vacademy
Tap a star to rate
Vacademy is an all-in-one platform for running an education institute: a learning management system for courses, live classes and exams, an admissions CRM, an ERP for fees, HR and payroll, and a layer of AI tools for content and evaluation, all under the institute's own brand. It calls itself "The operating system for education businesses" and promises "one platform instead of eight disconnected tools. One login. One database." Its readers are school and college administrators, coaching institute owners, online academies and corporate training teams.
The footer says Vacademy is a "Product of Vidyayatan Technologies", and the homepage says it was founded by Riya Jain. The homepage reports clients in India, the UK and the US, and says it is "Trusted by schools, online academies and training institutes across 5 countries."
Four editions on one platform
The FAQ says "Vacademy comes in four editions built on the same platform", each including the full AI toolkit:
- Vacademy Spark for playschools and K-12 schools: smart attendance, timetables and report cards, parent updates on WhatsApp and the app, fee reminders and online collection, and a learner app for children and parents.
- Vacademy Prime for colleges and higher education: departments, large-batch live classes and recordings, proctored exams and grading at scale, and department and role-based dashboards.
- Vacademy Connect for online education companies: a branded website and iOS and Android apps, course selling with integrated payments, and an admissions CRM with WhatsApp follow-ups.
- Vacademy Collective for corporate training teams: branded training portals, compliance tracking, certification management and training performance analytics.
An institute can start with one edition and switch or combine them later.
What an institute gets
Admissions CRM. The CRM captures enquiries from the website, Meta and Google lead ads, WhatsApp, walk-ins and CSV imports into one pipeline, scores and routes each lead to a counselor, and can use an AI voice agent to qualify a lead before a counselor calls. Because the CRM and LMS share one learner record, the homepage says, "When a lead enrols, they're instantly a student across courses, payments, the app and your reports."
Teaching and live classes. Institutes host and record live sessions, track attendance automatically, and, per the FAQ, integrate with platforms like Zoom or Google Meet. Live classes include polls and leaderboards, and a doubt queue lets students raise questions. The feature menu also lists a live whiteboard, presentation mode, multi-format slides, coding challenges and a website builder.
Assessments. For coaching institutes the homepage offers "JEE/NEET/UPSC-grade papers, variant sets, proctoring and instant ranked results," and AI question banks that "Generate and tag thousands of questions." The FAQ adds randomized question banks, AI-based grading, AI proctoring and real-time performance analytics. Manual-upload exams are also supported.
AI tools. The homepage says the AI can "Turn a syllabus into a full course, generate question papers and videos, and get lecture notes and plans drafted for you", with teachers reviewing the output "instead of starting from a blank page." The named tools are the AI Course Builder (auto-structured modules, multi-format content, curriculum alignment, one-click publishing), an AI video generator and AI avatar videos, a quiz builder, a storybook creator, a worksheet generator, a Lecture Assistant that produces live lecture notes, quizzes, flashcards and session summaries, a Lecture Planner for lesson plans and learning objectives, an AI doubt chatbot, an instructor copilot and AI evaluation.
Branded apps. Each institute gets its own iOS and Android app, which the homepage describes as carrying "your logo, your domain, your content." The FAQ says the platform can be fully white-labeled with the institution's logo, colors, domain and course structure.
ERP. Fee collection supports upfront, installment and subscription plans, with "GST-compliant invoicing in INR, AED, SAR, AUD and USD." The ERP also issues certificates with QR verification, runs coupons and referral programs, and covers HR with attendance, leave and payroll for faculty and staff. A parent portal, notifications, an inbox and announcements, analytics and reports, SSO and role-based access, and webhooks and an API appear in the feature menu.
Custom builds. Vacademy says an institute describes what it needs in plain language and its team builds it on the workspace "using the same AI that powers the platform", then maintains it: "You never inherit code you have to babysit." The homepage example is a coaching director asking for a weekly WhatsApp report to parents with attendance, test scores and fees due, in Hindi. It says "Most custom asks ship in days, not quarters."
Higher education in New Zealand
A dedicated page pitches Vacademy to New Zealand universities and Institutes of Technology and Polytechnics, with "NZQF-aligned outcome tracking" that maps learning outcomes to NZQF levels with rubric-based assessment, micro-credentials, digital badges and stackable credentials "issued automatically on completion with verifiable certificates", fee management in NZD "with 15% GST-compliant invoices and student payment plans", and "Hosting options in NZ regions for institutions with research-data residency requirements." Undergraduate, postgraduate, short courses and micro-credentials run in one system with one learner record.
What the pages state
Pricing. The homepage says "Plans from ₹3,000/mo · Free migration · Live in 48 hours" and lists "₹0 Setup & migration" and "No revenue share." It links to a separate pricing page and invites institutes to "Get pricing" after a 20-minute demo walkthrough.
Migration. The homepage says "Our team moves your data across so you go live without starting from scratch", typically within 48 hours. What moves over: courses and content, students and records, attendance, recordings, payment history and reports.
Security. The FAQ describes "encryption in transit and at rest, role-based access management, ISO 27001 certified processes (SOC 2 Type II audit in progress), and GDPR/DPDP-aligned handling of all user data." The homepage adds ISO 9001, AES-256-GCM encryption for sensitive credentials, regular automated backups, per-institute data isolation, "export on request, and clear data ownership," and 99.9% uptime.
Reviews. The homepage says Vacademy is "Rated Excellent on Trustpilot (4.3/5)." Customer statements include Shri Saidas Classes, credited with "+433% growth in enrolled students", Aanandham Yoga with "100% automated member subscriptions", The 7Cs with "48 hrs from signup to live custom app", and Vet Education with "12+ countries of student reach".
Contact. Phone, WhatsApp and email are listed, and a partner program covers resellers, referral partners, technology vendors and implementation agencies.
Who it suits
Vacademy suits an institute that runs admissions, classes and fees as one business and wants them in a single system: a coaching institute with entrance-exam mock tests and a lead pipeline, a school that wants attendance, report cards and WhatsApp parent updates, a college running large batches and proctored exams, or an online academy that wants its own branded apps and course sales without a revenue share. Institutes that want custom automations built for them get a team that builds them.
It suits less well a teacher who only needs a simple course page, or a buyer who wants every plan's price listed before the first conversation.
