What Waybook is
Waybook is a business playbook platform for growing teams: one place for onboarding, employee training, standard operating procedures (SOPs) and company knowledge. It sits at the operations end of the business LMS category. Rather than a catalog of courses, it gives a team structured documents, step-by-step processes and quizzes, then tracks who has read, completed and passed them. The company behind it is Waybook Limited.
The FAQ describes the job plainly. Waybook replaces "scattered Google Drive folders, Notion pages, and tribal knowledge with a structured, searchable single source of truth your whole team can access and follow." The home page says it is used by 18,000+ businesses and carries a 4.9/5 rating on Capterra, and it pitches the product at everything from startups to 1,000-person companies. The company's own description of its best-fit customer is growing, operations-led teams of 20-200 staff that need SOPs, onboarding and real training accountability in one place.
How content is built
Content in Waybook is organized as categories, subjects, documents and steps, and plans include unlimited subjects, documents and steps. Complex processes, training material and SOPs are broken into simple structured workflows that a new hire can follow one step at a time. Documents can carry videos, images, GIFs, code snippets, checklists, maps, emojis and quizzes, and flow charts map out complex processes visually. An org chart shows who does what and who to go to.
AI is built into the editor. The FAQ lists AI Content Writer and AI Actions for drafting and editing documents, AI test generation to create quizzes, and AI-assisted SOP creation from templates, and says these AI features are included on every plan. Waybook Shots is listed as a visual process capture tool. Documents keep a revision history, with version control on the knowledge base, so a process can be improved without losing track of what changed.
Onboarding and training
For onboarding, Waybook lets a company build one structured process and deliver it to every new hire: "Same steps, same standards, fully trackable." New hires get a self-serve onboarding path from day one, with structured learning paths, process documentation and training verification in one platform. The home page says this reduces ramp-up time by up to 50% and cuts the repeated questions that land on managers. Training paths can be built by role, combining video, documents and quizzes, and documents can be assigned to roles so nothing is missed.
The test side covers mini quizzes and full exams. The company frames the goal as knowing a team "can do the job, not just that they clicked", and its readiness tracking adds pass/fail steps, mandatory checks and progress dashboards by role. Real-time dashboards show exactly who has completed what, broken down by team, role or individual, and Waybook tracks who has read and followed each process, so a manager can see that a document update has actually been seen.
Compliance and SOP management
Compliance training gets its own set of tools. Admins assign mandatory training to the right people, track completion for audit readiness, send automatic reminders for overdue training and test knowledge retention with quizzes. On the SOP side, the home page promises that a process is documented once and kept current, that teams and locations stay consistent, and that acknowledgement and compliance are tracked. For multi-location operators, Waybook holds the whole operation in one library with role-based permissions, so one update applies everywhere, and the company says the right SOP stays "a search or two clicks away".
The solutions menu shows how wide the use cases run: SOPs, sales training, customer service training, corporate academies, employee onboarding, an employee manual and compliance training, plus versions for real estate and legal practice.
Waybook Ask, mobile and integrations
Waybook Ask is the AI assistant included on every plan. It answers plain-language questions from a company's own published documents, with sources linked and permissions respected. Waybook MCP, on the Pro plan, connects the knowledge base to AI tools such as Claude, ChatGPT and Microsoft 365 Copilot. The comparison table lists Slack and MS Teams integration, and the site says Waybook connects with thousands of other tools. The feature list also includes bespoke integrations.
The mobile app lets field and distributed teams read SOPs, complete onboarding and confirm training from their phones, and Waybook also works in any mobile browser.
Security and administration
The security FAQ says Waybook runs in a dedicated Virtual Private Cloud with firewalls, encrypts data in transit and at rest using AES-256 and TLSv1.3, supports multi-factor authentication and single sign-on, logs all activity for audit purposes and keeps disaster recovery plans. The feature list adds SSO and directory sync, the option to enforce 2FA, an audit log, advanced permissions with a manager role, advanced due dates, custom branding, PDF exports, external document and subject sharing, and it lists Waybook as GDPR compliant.
Pricing and trial
Waybook publishes its prices, with no setup fee and no demo required to see them. Billed annually:
- Core: $99 per month flat, with 20 members included, then $5 per additional member. It includes unlimited documents, AI Content Writer and AI Actions, and progress tracking on every seat.
- Pro: $198 per month flat, with 20 members included, then $10 per additional member, and Waybook MCP.
- Enterprise: custom pricing.
The company's own worked examples for Core put a 25-seat team at $124 per month, a 50-seat team at $249 and a 200-seat team at $999. A 7-day free trial starts without booking a demo. For teams moving from another tool, Waybook's team can map and import existing content; the FAQ calls migration a hands-on paid service that most small to mid-sized teams complete in about a week, while the feature list includes "Free Data Migration*" with an asterisk. Support runs through a help center, email and a public roadmap, and the feature list includes enhanced and dedicated support tiers and a directory of process consultants.
Who it suits
Waybook suits growing businesses where know-how still lives in a few people's heads: an operations-led team of 20 to 200, a company with several locations that needs one version of each process, or a business whose managers spend their days answering the same questions. Customer testimonials on the home page describe exactly that shift, with one saying "Clinicians now know to go to Waybook and search it like an internal Wikipedia." Published per-member pricing and a self-serve trial make it easy for a small team to test before talking to sales.
It is a different tool from a course LMS. An L&D team that wants to build polished courses, sell training externally or run a large content library will find Waybook focused on documented processes, onboarding and proof of training rather than on course delivery. For teams that need exactly that operational layer, it covers the ground in one place.
