What it is
TrainedTeam describes itself as "the LMS, SOP builder, and runs tracker, all in one." It is a training and compliance platform for teams that work on a shop floor, a site or a shift rather than at a desk: the home page says it is "Made for hospitality and retail teams of 5 to 50," and its industry pages cover manufacturing, construction, healthcare and care, hospitality, retail and professional services. The FAQ widens the range, saying TrainedTeam is designed for teams "of 1 to 500+." The company says it is trusted by teams in healthcare, warehouses and advertising agencies across the UK, and it publishes separate template libraries for the UK and the US.
The idea behind the product is that training records alone do not prove that work was done properly. TrainedTeam lets a manager document a procedure, train and test the team on it, and then have staff run the procedure step by step with photo evidence, so there is a record of what actually happened on shift.
What you get
Content, written by AI or by hand. A manager can describe a process in plain English and let AI write it, or write it in the editor. The Create with AI wizard goes from a one-line description to a finished SOP in five guided steps: it asks clarifying questions, proposes a structure for approval, writes each step for review, and saves. The home page lists eight AI capabilities: start from a title, video to instruction, "Ask AI anything" chat threads on each SOP or collection, AI Spotlight for rewriting a highlighted passage, scenario-based quizzes, voiceover narration (a Pro feature), a document wizard for policies, and an AI that learns the organization's tone, terminology and structure as more SOPs are published. The company says it uses "frontier AI models" and that output is "Good enough to ship with light editing."
AI is optional. The FAQ says the rich editor has slash commands, tables, video embeds, images and collaborative features, and that "you can write every SOP from scratch and never touch an AI feature." Existing material can be pasted in, and bulk import via API is available on higher tiers.
Video to instruction. Paste a Loom or YouTube link and the AI extracts the steps, writes the instructions and embeds only the relevant clip in each step, turning a long recorded walkthrough into a structured, testable procedure.
Knowledge checks. Quizzes come in five test types: comprehension, retention, application, safety and sequence. The AI generates scenario-based, safety-focused questions, and the home page says staff "Must pass before executing the real task."
Collections, paths and certifications. Content is bundled into collections, sequenced into learning paths with due dates, and used to award certifications. Certification expiry tracking and content review reminders run automatically on Pro.
Runs with photo proof. The feature that sets TrainedTeam apart is the run. A team member walks through a checklist one step at a time, cannot skip steps, uploads a photo as evidence at each step and adds notes. Managers see exactly what was done and when, and get "a searchable record of how work got done."
E-signatures. Policies are signed rather than just read. Each acknowledgment records the person's legal name, the timestamp, the IP address and the exact document version that was signed, so a record can be pulled up for an inspection in seconds.
Analytics. Dashboards show completion rates, quiz scores, pass rates and overdue assignments, and a click on any team member shows their full training history. Data exports to CSV for board reports and audits.
Compliance templates and setup
TrainedTeam ships "150+ templates aligned to UK and US regulatory frameworks." The home page names HSE, ACAS and UK GDPR for the UK and OSHA and the FDA Food Code for the US, and the company's comparison page adds RIDDOR and COSHH. The right country's library is picked up automatically at sign-up. The industry sections give examples of what they cover: food safety and allergen training in hospitality, site inductions and health and safety procedures in construction, infection control and medication management in healthcare, opening and closing checklists and cash handling in retail, and data protection training in professional services. The FAQ is careful about their status: it calls the templates a starting point and advises review by a qualified advisor for each customer's circumstances.
Setup is meant to be quick. Sign-up takes an email address and no credit card, the user picks an industry and country, and the AI pre-loads "10-15 templates tailored to your sector and jurisdiction." The company says most teams have content live with their team "inside 30 minutes."
Plans and pricing
There are two plans, and prices are published.
- Free, £0 forever for up to 5 team members, with no credit card: unlimited instructions and documents, 50 AI actions a month, knowledge checks (all 5 types), runs with photo proof, basic analytics, and Google and Microsoft SSO. The FAQ calls it "No trial that expires."
- Pro, from £24 a month billed annually, with two months free, which the home page also expresses as "from £4.83 /person". The comparison page gives the US price as $33 a month billed annually. Pro adds unlimited users and AI actions, AI chat threads and voiceover, full e-signatures with IP audit trail, advanced analytics with drill-down, the full template library of 150+, certification expiry tracking, CSV export and review reminders. A 7-day free trial of Pro starts when a team hits the Free limits.
Pro pricing is "flat-rate by team size" with "no per-seat fees", scaling "by team size at flat brackets."
Security and support
According to the FAQ, all data is encrypted at rest and in transit, row-level security is enforced at the database layer, and data is stored in EU data centers. Google and Microsoft SSO work on every plan, including Free, and documents carry version tracking. Customer support is reached by email at the support address in the site's contact details.
Who it suits
TrainedTeam fits small and mid-sized operations with frontline staff and real compliance exposure: a restaurant or hotel that needs new starters through food safety and allergen training before their first shift, a retailer that wants every store opening and closing the same way, a construction firm inducting rotating crews, or a care provider that needs signed training records ready for an inspection. The free plan lets a team of up to five run the whole product without paying.
The company is open about where it stops. Its own comparison page says TrainedTeam has "No SCORM/xAPI course import and no off-the-shelf course library," and that a course LMS fits better for formal e-learning delivered at scale. It also leaves out an operations suite of meetings, goals and scorecards, staying focused on training, SOPs and proof.
